Who is collecting my data?
Women for Refugee Women is a registered charity (no. 1165320) that supports women who seek asylum and educates the public about their experiences.
What kind of information does Women for Refugee Women collect about me?
We may collect information directly from you which personally identifies you (e.g. name, address, email, etc.) when you participate in the following activities:
- contacting us, primarily by phone, email or by post
- subscribing to our email list to receive more information about our campaigning work and how you can get involved or donate
- signing up to attend an event
In addition, we may collect financial information from you when you make a donation to support Women for Refugee Women. If you make a donation online your card information is not held by us, it is collected by our third party payment processors, who specialise in the secure online capture and processing of credit/debit card transactions.
How will my data be used?
If you are making a donation, signing up to an event or supporting a campaign action we will process your data in order to satisfy this specific action.
If you have made a donation, we may contact you by post or email to thank you and give you further information about ways in which you can support Women for Refugee Women. For all other actions, if you give opt-in consent we may contact you by email or post to give you further information about Women for Refugee Women’s work and ways in which you can support us.
We review our retention periods for personal information on a regular basis. We are legally required to hold some types of information to fulfil our statutory obligations (for example the collection of Gift Aid).
Who do we share your personal data with?
We do not disclose your personal data to anyone outside Women for Refugee Women except:
- where we have your permission;
- to other organisations who provide a service to us or you (e.g. payment processing companies, print companies);
- or where we are required to do so by law (e.g. by a court order or for the purposes of prevention of fraud or other crime.)
Financial Data – Processing of your personal data by third party payment providers
We use BT MyDonate as our main secure payment gateway for one-off and recurring donations.
When making an online donation your payment details are processed by BT MyDonate.
When you make a payment, BT MyDonate asks for your name, address, phone, email address, your declaration of tax status for Gift Aid and credit/debit card information. This information is used to process your payment and to verify credit/debit card data.
Your credit/debit card details will only be retained by BT MyDonate. In the case of a suspected fraudulent transaction, card details may be disclosed to Women for Refugee Women for the sole purpose of performing further checks.
How will my data be stored?
Your personal data will be kept by Women for Refugee Women in a secure environment. We care about protecting your information and so we put in place appropriate measures that are designed to prevent unauthorised access to, and misuse of, your personal data.
We are committed to taking all reasonable and appropriate steps to protect the personal information that we hold from misuse, loss, or unauthorised access. We do this by having in place a range of appropriate technical and organisational measures, including encryption.
Non-sensitive details (your email address etc.) are transmitted normally over the Internet, and this can never be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk. Once we receive your information, we make our best effort to ensure its security on our systems.
How do you store and transfer my data internationally?
We want to make sure that your personal data is stored and transferred in a way which is secure. Some of the third party service providers that help us to look after your data properly (eg Salesforce) have servers in the United States of America. We are confident that they have signed up to the EU-U.S. Privacy Shield Framework for the transfer of personal data from entities in the EU to entities in the U.S.
We will only transfer data out of the European Economic Area (EEA) in accordance with data protection legislation and where the means of transfer provides adequate safeguards in relation to the data.
How long do you keep my personal information for?
We will hold your personal information on our systems for as long as is necessary for the relevant activity, or as long as is set out in any relevant contract you hold with us.
We will not keep your personal information for longer than is necessary for the purposes for which we collect it unless we believe that the law or other regulation requires us to preserve it (for example, because of a request by a tax authority or in connection with any anticipated litigation).
When it is no longer necessary to retain your data, we will delete the personal information that we hold about you from our systems.
What are my rights?
As noted above, you have the right to withdraw consent or object to our processing of your data. You also have the right to seek information on which of your personal information we hold and indeed you can in certain circumstances implement your rights to erasure, rectification or restriction of our processing.
